From RFQ to Delivery: What Happens After You Send Your Requirement

You send an enquiry for bulk uniforms — then what? Understanding the full journey from requirement to delivery helps you plan timelines, prepare what's needed at each stage, and avoid surprises. Here is exactly what happens, step by step.

Step 1 — Enquiry and requirement

It starts with your requirement: industry, products, quantity, customization and your deadline. The more detail you share (a clear RFQ helps), the more accurate everything downstream becomes. This is the moment to specify fabric, colours, sizing and branding.

Step 2 — Quotation

The manufacturer returns a quote based on your requirement — pricing, and ideally a delivery timeline. If your requirement was specific, the quote is accurate; if it was vague, expect assumptions. Review it against your needs and clarify anything unclear before proceeding.

Step 3 — Sample and approval

Before bulk production, you approve a pre-production sample — your chance to verify fabric, fit, colour, stitching and branding against your specification (see how to evaluate a sample). Responding promptly here is the fastest way to keep the timeline on track. The approved sample becomes the quality benchmark.

Step 4 — Fabric and cutting

Once the sample is approved and the order confirmed, the manufacturer sources the right fabric and cuts it to your size set. Accurate cutting against a confirmed size-wise split keeps fit consistent across the order.

Step 5 — Production

The bulk run is stitched. This is where capacity matters — a manufacturer with in-house machines and staff (for example 60+ machines, 10,000+ pieces a month) produces large orders reliably and on schedule. See our manufacturing process.

Step 6 — Branding and quality checks

Logo embroidery, printing or badges are added, and the order passes quality checks against the approved sample before packing. This is where defects are caught — in the factory, not by your staff.

Step 7 — Dispatch and delivery

Finished uniforms are packed and shipped — locally or in bulk across India by transport. For large orders, phased delivery may be possible so you can start using uniforms sooner. Delivery timelines depend on quantity and customization (see lead times).

What you control

Three things you control speed up the whole journey: a detailed requirement up front, a prompt sample approval, and a locked specification (late changes reset stages). Plan backwards from your deadline and place the order early.
